Registration Information / Notes for Authors

For each accepted paper to be included in the Conference proceedings, at least one author must register by August 15, 2008, at the author regular or IEEE Member rate and present the paper at the conference. There is no student fee for authors-presenters. Please note, that registration online-system will open after authors-presenters have been notified that their paper has been accepted/rejected. The number of their accepted paper is necessary during registration.

The non-student registration fees cover one paper up to 6 pages long. Each additional page from 6th to 8th is charged €50 per page and should be purchased as an additional item. No paper should exceed 8 pages in length. Each additional paper will be charged €200.

Non-author or author-non-presenter participants, to be eligible for the early registration fee, payment of registration must have been received by September 1, 2007. Registration payments after that date will be charged with the late registration fee.

The free tutorial “Introduction to Bioinformatics” to be held at the Biomedical Research Foundation. Athens, Greece, on Wednesday October 8th, will have a limited number of attendees. Only fully registered conference participants can take part and a fist come, first served procedure will be kept. IEEE Member rates are only available to individuals who are IEEE members at the time of registration - visit www.ieee.org/join to join. IEEE members should provide their Member No (in the registration form) and be prepared to show their IEEE membership card at the conference registration desk.

Students must be prepared to show their student card or any document certifying their student status.

The conference organization can issue official invitation letters for visa purposes ONLY after your registration and your payment has been confirmed.

Registration by email or phone will not be accepted.


Participation of accompanying persons in the various social events of the Conference will be available at an extra cost.

Ways of Registration
You can register in one of the following ways:

On-line Registration

On-line registration and payment is preferred. Your registration payment will be processed through a secure web-based credit card payment system (SSL encrypted data transfer). Use the on-line registration link. Notice that the first time you use the on-line system you must create a user account.

Registration by Fax

Registration by fax is available for those who cannot register on-line. Please, download, fill in the registration form, with your credit card or other payment information and send it by fax to: +30 2610 991 945.

Registration by Mail

Registration by mail is possible, using the registration form. Mail and payment should be received by the corresponding deadline. Please, download, fill in the registration form, and mail it to:

Attention

  • Each participant must register separately.
  • Receipts will be given on site. No invoices will be sent in advance.
  • Upon receiving your complete registration application and respective payment(s), the registration desk will email you a confirmation letter, including your registration number. You must print the official confirmation of registration email and bring it with you to the on-site registration desk!

On line registration will remain open until Wednesday, October 1st 2008. After that date, only registration at the on-site registration desk is possible.

Payment of Fees


Registration will not be considered until full payment is received.
Acceptable methods of payment are:

Bank Transfer
If you are unable to pay by credit card, you may
pay by bank transfer, but an extra 20€ are required to cover administration handling costs.
For safety reasons, the bank account details will be sent to you by email. You need to indicate the bank transfer method on your registration form first!

  • All payments must be made in Euro.
  • Cash payments will be accepted only on-site. Credit card payment will also     

             be available on-site. No other type of payment will be accepted.

Cancellations

In the unfortunate event that a registration must be cancelled, a refund of all prepaid fees will be made, excluding an administration charge of € 100, provided that advance written notification is submitted by Friday September 5th , 2008. No refunds will be made for cancellations received afterwards. All refunds will be handled within 30 days after the end of the Conference.


Additional Registration Application
Those who are already registered, but would like to get additional items (i.e. the conference proceedings, welcome reception tickets, conference dinner tickets or lunch tickets), must use an additional registration form.
The additional registration application can not be submitted on-line. You must fax (+30 2610 991 945) the additional registration form. Confirmation will be sent via email, after proof of payment has been received. Please remember to print and bring this confirmation letter with you to the registration desk in order to collect your tickets/proceedings.

Letters of Invitation
Delegates requiring a letter of invitation in order to attend the Conference may write to the Registration Desk (secretariat@bibe2008.org) specifying the necessary details. Please note that this procedure aims to assist delegates who need to obtain a visa or permission to attend the Conference. It is not an official invitation covering fees and other expenses and does not imply any financial support from the Conference.
Payment for registration fees must have been finalized, before requesting an invitation letter. Please make sure that in your request to the Registration Desk for an invitation letter you include:
      1) Name, postal address, and a valid email address;
      2) Paper number, if you are presenting a paper;
      3) The words “invitation letter request” in the subject field of your email request.


The visa letters will be emailed in a printable coloured pdf format and will state only the facts:

  • Conference title, dates, and location;
  • That the requester has paid the required registration fee in full;
  • If the requester is a committee member, speaker, or presenter.

Attendees who need visas are advised to apply for it to the respective consulate/embassy no later than 3 months prior to the Conference. For visa information, please visit the Greek Ministry of Foreign Affairs

Personal Insurance

The organizers cannot be held responsible for accidents to Conference participants or accompanying persons, for damage or loss of their personal property, or for cancellation expenses, regardless of cause. Participants should therefore, make their own insurance arrangements. Please consult with your local insurance sources regarding coverage.
